Booking Payments & Cancellations

Payment:

  • If booking 14 days or more in advance of your arrival you can secure your stay with a 25% deposit taken at the time of booking. The final balance is due 14 days prior to your arrival date.
  • If booking within 14 days of your arrival date, payment in full is required.

Cancellations:

  • With 7 or more days’ notice before check in time (15:00) on the day you are due to arrive, we will retain £10.00 of any monies shared with us to cover card payment fees incurred, plus administration time. The rest of your balance will be refunded as soon as possible.
  • If you cancel 48 hours to 6 days before check in time on the day you are due to arrive, we would consider moving your booking to a new date. Any seasonal price increase will be added to the new booking value. Alternatively, we can offer a 70% refund.
  • If you need to cancel with less than 48 hours notice before check in time on the day you are due to arrive, no refund or change of date will be available.

Travel Insurance:

  • We strongly advise you to take out travel insurance to protect yourselves against circumstances outside of your control

No Show:

  • If you do not check in on the day you are expected to arrive or do not check in at all. There will be no refund or change of date available

Inclement Weather:

  • If there is national advice not to travel unless your journey is essential, you will be given a full refund or offered alternative dates. Do not put yourselves or others at risk.

Cancellation by us:

  • In the unlikely event that we need to cancel your booking, we will offer a full refund or alternative dates to stay. If there is a seasonal price increase, we will be responsible for the difference in value.

Changes to your holiday dates:

  • If you need to make changes to your booking dates, a £10.00 administration fee applies

These are the booking and cancellations rules of Beacons Bluff Escapes. If you book your stay with an alternative booking platform, the terms and conditions from the platform that you booked with will apply.

Whole Site Bookings

  • Whole Site Bookings can only be booked directly with us following a conversation.

Arrival and Departure

  • Checking In – Check In time is from 3:00pm until 10:00pm on the day you are expected to arrive. If you experience difficulties getting here or you are expected to arrive in the dark, please let us know on 07450 104 332/ 07483 484 786. We can put the lights on for you.
  • You will receive an email on the day you are expected to arrive with directions from the main road, your pod name and the location on site. Your name will be on the welcome board at the back of the pod where you can park. If you do not use email, please call in advance and we can give you this information.
  • Check In is contact free, you will find your key in the door of your pod. We will hopefully be around to say hi.
  • Checking Out – Check out time is by 10:30am prompt on the day you are leaving. If you would like to discuss a later check out time, please contact Emma or Andrew during your stay. Late check out fees apply. This service is not always possible.
  • Whilst we do clean each pod thoroughly after departure, guests are expected to leave the pod in a fair and good condition. Rubbish and recycling to be sorted and put in the appropriate bins outside of each pod. Food recycling can be left in the pod with the lid on and we will collect it as soon as possible.
  • The fridge must be cleared
  • No washing up to be left for us to do
  • If you have an outstanding balance for extras purchased during your stay, this must be settled before leaving the site. We can accept card payments on site.
  • Please leave the key in the door of the pod upon leaving

Smoking/Vapes & Flames

  • Smoking/ Vaping of any form is not permitted in the pod.
  • Smoking/ Vaping of any form is not permitted within 2m of the pod
  • Extinguish all smoking materials completely and appropriately
  • No naked flames , for example, candles or lighting matches are permitted in the pods
  • You are not permitted to throw cigarette ends on the ground – this is littering and harmful to wildlife
  • DO NOT put any vaping products in the bins – TAKE THEM HOME and recycle them appropriately. They can cause fire if disposed incorrectly and in contact with other flammable products such as general waste.

 Pets

  • Well behaved pets are welcome (pet fee applies) but must be with their owners at all times. We do not tolerate pet waste being left for others to pick up.
  • Owners must clean up their pets waste and dispose in the bins appropriately
  • If you are bringing any other pet than a dog, please contact the owners to see if this is appropriate or can be accommodated.
  • Pets must not be left unattended in the pods
  • Pets must be on leads at all times – we can generally find an empty field on the farm should you need to exercise your dog off the lead – speak with Emma or Andrew first
  • If leaving the site – You must follow the Country Side Code at all times

Electric Vehicles

  • It is not permitted to charge your electric vehicle from the power supply to the pods. There is an electric vehicle charger on site. Price per kWh varies. This is not a free service.

Day Visitors

  • Day visitors are only permitted after discussion with Emma or Andrew. Should Day visitors be present for more than 1½ A facilities charge of £10 per person will apply
  • No more than 2 day visitors are permitted at any time
  • Day visitors are not permitted to use the recreational facilities such as the lake or hot tubs unless they have paid the additional facilities charge
  • If day visitors wish to stay and there is room to accommodate this in your pod, an additional person fee of £35.00 per person per night will be charged.

Code of Conduct

  • We expect all our visitors to respect and look after the site and the pods
  • We expect you to respect others and keep noise levels to a minimum
  • Background music during the day may be permitted if this does not affect any other guests. We operate a no noise policy after 10:00pm. Please do not be offended if we ask you to reduce noise levels or turn music off
  • Parents are responsible for their children and therefore, children must be supervised at all times
  • No person under the age of 16 can wonder the farm without an adult present
  • No person under the age of 18 can use the lake facilities without adult supervision
  • Buoyancy aids must be worn when using the lake facilities at all times
  • Hot Tub Use – A separate code of conduct applies here and will be presented with each hot tub booking upon arrival
  • Farm Safety – do not allow children to leave the pod site without an adult
  • Do not allow children to play on fences, gates or machinery that may be around the farm
  • Keep to paths
  • Gates should be left as found
  • Adhere to the Country Side Code
  • Avoid fields where there is livestock
  • No graffiti or malicious damages will be tolerated
  • No illegal activities, including the use of recreational drugs, abuse or violence will be tolerated

We reserve the right to ask guests to leave the site if their conduct breaches these terms and conditions. If illegal activity is detected, The Police will be notified. No refund will be given.

Damages

  • All damages/ breakages must be reported as soon as possible
  • Damages/ breakages above the value of £10.00 will be chargeable to the guest

Complaints

  • We take every step to ensure that guests have a pleasant and safe experience here. We also welcome constructive comments and recommendations from guests on how we can improve the experience.
  • We ask that you raise any concerns with us immediately so we may have the opportunity to make changes and rectify any issues raised as is reasonably practicable to do so.
  • If you wish to raise concerns whilst on site, please contact Emma or Andrew using whichever communication method suits the situation best. Please do not be afraid to knock on our door. Emergencies only after 10:00pm
